1. Provider
Ringlane is provided by Wellens BV, trading as Small Steps Big Impact ("SSBI", "we", "us"), registered office Heirbaan 96, 3620 Lanaken, Belgium, company number 0789.681.057, VAT BE0789.681.057, email senne.wellens@smallstepsbigimpact.io.
These terms apply between SSBI and the organisation that uses Ringlane ("Customer", "you"), represented by the person who creates or joins a workspace. By using Ringlane, you confirm that you may bind that organisation.
2. The service and the beta
Ringlane is an online workspace for outbound sales: campaigns and call lists, scripts, call outcomes and follow-ups, tasks, reports, and optional connections with Google Calendar, Gmail and Attio. Ringlane does not place phone calls itself; you call with your own phone or softphone.
Ringlane is currently in open beta. During the beta, features may change, appear or disappear, and the service is provided "as is" and "as available". We will announce the end of the beta at least 30 days in advance.
3. Accounts and workspaces
- Ringlane is meant for professional use only. You must be at least 16 years old.
- Keep access to your Google account or email secure. You are responsible for actions taken with your account.
- The owner of a workspace decides who joins it and which role they get. The Customer is responsible for the people it invites.
- Each workspace has a fair-use limit, currently 50,000 records and 200 MB of data. Each account can create up to 10 workspaces.
4. Acceptable use
You use Ringlane in compliance with the law. In particular, you:
- only import and process personal data that you collected lawfully and may use for direct marketing, and you inform the people you contact as required by the GDPR;
- comply with the telemarketing rules of every country you call, such as do-not-call lists and consent requirements (for example the Belgian "Bel-me-niet-meer" list and the Dutch rules for calling consumers and small businesses), and stop contacting people who object;
- do not use Ringlane to send spam, to harass people, or for unlawful, misleading or harmful content;
- do not try to access other workspaces or accounts, test or bypass security, overload the service, or copy, reverse engineer or resell Ringlane.
5. Your data
You remain the owner of all data you put into Ringlane ("Customer Data"). You give us the right to host, process and display it only to provide Ringlane to you. You can export your data and delete your workspace or account at any time.
6. Data processing terms
For Customer Data that contains personal data, the Customer is the controller and SSBI is the processor under article 28 GDPR. Unless a separate data processing agreement is signed, these terms apply:
- Subject and duration. SSBI processes personal data of the Customer's contacts, leads and users to provide Ringlane, for as long as the Customer uses Ringlane.
- Instructions. SSBI processes Customer Data only on the Customer's documented instructions, which are given by these terms and by using Ringlane, unless the law requires otherwise. SSBI informs the Customer if it believes an instruction breaks the law.
- Confidentiality. Everyone at SSBI who can access Customer Data is bound to confidentiality.
- Security. SSBI takes appropriate technical and organisational measures, including EU hosting, encryption in transit and at rest, strict separation between workspaces, and access only where needed.
- Sub-processors. The Customer authorises the sub-processors listed in our Privacy Policy. SSBI informs the Customer at least 30 days before adding or replacing a sub-processor, and the Customer may object. SSBI imposes the same data protection obligations on its sub-processors.
- Assistance. SSBI helps the Customer to answer requests from data subjects and to meet its obligations on security, breach notification and impact assessments, taking into account the nature of the processing.
- Personal data breaches. SSBI notifies the Customer without undue delay, and where possible within 48 hours, after becoming aware of a breach affecting Customer Data.
- End of processing. When a workspace is deleted, SSBI deletes the Customer Data, unless the law requires storage. Backups are overwritten within 7 days.
- Information and audits. SSBI makes available the information needed to demonstrate compliance with article 28 GDPR, and allows reasonable audits on prior written notice.
- International transfers. Customer Data is hosted in the EU. Where a sub-processor processes data outside the EEA, SSBI ensures appropriate safeguards such as standard contractual clauses.
7. Third-party services
Ringlane can connect with Google Calendar, Gmail and Attio. Using these services is subject to their own terms. You decide whether to connect them, and you can disconnect them at any time. We are not responsible for the availability or changes of third-party services.
8. Intellectual property
Ringlane, its software, design and brand belong to SSBI. You receive a non-exclusive, non-transferable right to use Ringlane for your own business during the term of these terms. Feedback you give us may be used freely to improve Ringlane.
9. Fees
Ringlane is free during the beta. Before paid plans start, we inform you at least 30 days in advance of the prices and conditions. Nothing is charged unless you explicitly choose a paid plan.
10. Availability and support
We do our best to keep Ringlane available and secure, but we do not guarantee uninterrupted availability during the beta. We may carry out maintenance, preferably outside office hours. Support is available by email.
11. Liability
- SSBI is not liable for indirect damage, such as lost profit, lost revenue, lost opportunities or lost data that could have been restored from your own sources.
- SSBI's total liability per calendar year is limited to the fees paid by the Customer in the 12 months before the event, and to EUR 100 for use during the free beta.
- These limits do not apply to fraud, intentional misconduct, or where the law does not allow limitation.
- You are responsible for the lawfulness of your Customer Data and of your outreach, and you indemnify SSBI against claims from third parties caused by a breach of section 4.
12. Suspension and termination
You can stop using Ringlane at any time and delete your account or workspace. We may suspend access, after notice where reasonably possible, if you breach these terms, if your use creates a security or legal risk, or if required by law. When the beta ends without you choosing a plan, we will give you at least 30 days to export your data before your workspace is deleted.
13. Changes to these terms
We may update these terms. We announce material changes at least 30 days in advance in the app or by email. If you do not agree, you may stop using Ringlane before the changes take effect.
14. Law and disputes
These terms are governed by Belgian law. We first try to solve any dispute amicably. If that fails, the competent courts of Antwerp, Hasselt division, have exclusive jurisdiction.
